You have an important event and have rented an elegant tent, but you're unsure how to arrange it so everything turns out perfectly? If you haven’t yet received advice from the rental company, don’t worry — here you’ll find everything you need to know to create a pleasant and comfortable atmosphere for your guests.
1. Check the weather forecast and keep your guests comfortable
Tent furnishing is usually done the day before or the morning of the event, when the weather forecast is more accurate. Here’s what to keep in mind:
Warm and sunny weather
Check where the shade will fall during the event. Avoid placing tables in direct sunlight. If possible, move them to shaded areas. If that’s not an option, use side covers or decorative walls for shade.
Risk of rain
Move the tables toward the center of the tent and leave at least 1.5 meters of safety space from the edges. If you have multiple connected tents, avoid placing tables in the connection areas.
Windy conditions
Arrange the tables so that they are placed on the side opposite to the direction of the wind — this way, guests will be more protected. Try to set up the tent in such a way that the buildings or wooded areas on the property block the wind.
2. Choose the right tent size based on your guest count
Space is essential for everyone’s comfort. More space creates a more relaxed atmosphere, but the tent size is often dictated by budget. Here are some guidelines for stretch tents, depending on their size and layout:
Tent Sizes and Recommended Capacity for Different Layouts:
–10x8 m tent (80 m²):
Cocktail/Disco: up to 80 people
Cinema (chairs in rows): up to 60 people
Banquet (round tables, 1.6 m diameter): up to 54 people
– 10x15 m tent (150 m²):
Cocktail/Disco: up to 150 people
Cinema (chairs): up to 112 people
Banquet (round tables, 1.6 m diameter): up to 100 people
– 10x23 m tent (230 m²):
Cocktail/Disco: up to 230 people
Cinema (chairs): up to 172 people
Banquet (round tables, 1.6 m diameter): up to 153 people
Recommended space per guest:
Round tables: 1.2–1.5 m² per person (includes chairs and circulation space).
Detailled examples with round tables:
⌀1.6 m (8 people) → approx. 10–11 m²
⌀1.8 m (10 people) → approx. 12–13.5 m²
⌀2.0 m (12 people) → approx. 14–16 m²
Rectangular tables: 0.8–1.1 m² per person.
The 2 m x 0.8 m table seats 6–8 people and takes up about 6–8 m².
3. Pick rental furniture based on the type of event
The nature and theme of the event determine which type of tables and layout are the most suitable.
Round tables — Ideal for formal events like weddings or elegant banquets. They allow easy movement between tables and create an airy, classy appearance. All guests can easily converse with each other, and the layout is well-organized.
Rectangular tables — Practical and space-efficient for tighter venues or more casual events such as corporate parties or informal gatherings.
If needed, different types of tables can easily be combined. At weddings, the head table is almost always a beautifully decorated long table, but guests can be seated at a mix of round and long tables as well.
Useful Planning Tips
–Allocate space for other important zones like the dance floor, bar, buffet, stage, or DJ booth.
–Leave a circulation path of at least 1 – 1.2 meters between tables so guests can move comfortably
–Don't forget a safety buffer zone along the tent’s edges.
